  • Overview

    The Part-Time Clerk will be responsible for maintaining the agency file room.


    Schedule: 17.5 Hours Per Week 

                     09:30AM and 01:00PM 

                     Monday through Friday



    CWA1040 Union position


    Hourly Rate: $13.25 per hour


    • Responsible for working with the Evolv Systems Administrator and the File Room Supervisor/Intake and Statistics Coordinator to identify data entry errors and/or file duplications in Evolv.
    • Maintain agency file room
    • Scan or read incoming materials in order to determine how and where they should be classified or filed
    • Prepare files with necessary documents and in prescribed order
    • Add new material to file records, and create new records as necessary
    • Answer questions about records, files, and Evolv data entries
    • Pull files for Clinical Case Reviews and other file audits or inspections
    • Eliminate outdated or unnecessary materials, destroying them or transferring them to inactive storage according to file maintenance guidelines and/or legal requirements
    • Find and retrieve information from files in response to requests from authorized users
    • Modify and improve filing systems, or implement new filing systems as needed
    • Perform periodic inspections of materials or files in order to ensure correct placement, legibility, and proper condition
    • Place materials into storage receptacles, such as file cabinets, boxes, bins, or drawers, according to classification and identification information
    • Sort or classify information according to guidelines such as content, purpose, user criteria, or chronological, alphabetical, or numerical order
    • Track materials removed from files in order to ensure that borrowed files are returned.
    • Data entry and word processing
    • Assist in mailings
    • Provide front desk lunchtime coverage as well as back-up to receptionist position


    Education Requirement:

    High school diploma required, additional education or training beyond High School in Office Administration preferred



    Two to three years proven experience working in a professional office environment.
