Overview

The Bilingual Receptionist/Clerk will answer multi-line telephone system; screen and forward calls, providing information, taking messages and data entry as needed. Attend to visitors and manage inquiries on the phone and face to face. Supply information regarding the organization to clients and the general public. Interact with a diverse population of clients, staff, and Board members in person and on the phone. Must be able to greet people in a welcoming and courteous manner.  Excellent telephone and computer skills are needed.

Responsibilities

Main Job Tasks and Responsibilities

  • Screen, and direct all calls politely, and relay messages when needed
  • Make an effort to be knowledgeable of agency programs and services
  • Follow CHS Covid Safety and Screening process when admitting persons into the building
  • Greet and direct visitors, and proactively communicate with programs staff regarding appointments
  • Successful command of keycard system and the management of keycards
  • Work in tandem with security staff to cover reception needs at all times
  • Manage employee/visitor sign-in/out sheets and awareness of persons entering and exiting the building
  • Provide general clerical support to other CHSofNJ departments including scanning, filing, and file room maintenance as needed
  • Prepare letters, documents, and email communications as needed
  • Receive, distribute, and post mail
  • Keep track of packages and checks
  • Maintain reception area clean, tidy, and sanitized daily
  • Update mailboxes and telephone lists as needed

Qualifications

Education and Experience

  • High school diploma or GED required, Associate’s Degree Preferred
  • 2 to 3 years of relevant office clerical experience
  • Proficient in Microsoft Office
  • Bilingual ( English/Spanish) written and spoken required
  • Strong customer service and professional phone etiquette experience.
